INTER-CLUB COUNCIL FUNDING PROPOSAL

What: Funding Proposals are extremely important and can provide a tremendous amount of support for various club activities.  The ICC Funding Proposal is the form required by ICC in order to receive club funding.  Each semester the ICC is allotted a specific dollar of which a portion is designated for the use of Club Funding and Honor Society Funding.  The actual amount that ICC receives depends on the amount allocated from the ASG Senate Budget Planning Committee.  This dollar amount can change each academic year.

The ICC Funding Proposal is merely a request and does not guarantee the awarding of funds.  The Inter-Club Council members serve as a Governing Board for all ICC budgetary issues.  As a result, the power to award specific dollar amounts resides solely with the ICC Representatives who are voting members.  The role of the ICC Executive Branch is to ensure accuracy of documentation provided. 

NOTE: The dollar amount of the Club Funding line item is separate from the Honor Society Funding line item due to the nature of mandatory attendance of national conferences for the Honor Societies.  The ICC Budget for the academic year and each semester is communicated during ICC meetings.  Your ICC Representative should be contacted for documentation and updates of the ICC Budget.  Keep in mind that the Inter-Club Council will only fund up to 75% of the dollar amount indicated as the MAX needed. 

Who: Any active club is eligible to receive funding assistance through the Inter-Club Council by submitting a funding proposal to the ICC President. 
When: The ICC Funding Proposal form should be picked up 6 weeks prior to the date of which funding is needed.  It is recommended that the suggested timeline be followed in order to facilitate each request. 

Week 1:   Monday –  pick up the form in the Student Activities Office,  U-121-A. 

Monday, Tuesday, Wednesday – Take Funding Proposal to club meeting, discuss, fill out, and gather required supplemental documents. 

Thursday –  At the ICC weekly meeting, turn in the completed Funding Proposal along with the requested documents to the ICC President so that the Funding Proposal Presentation is put on the following week’s agenda. 

Week 2:   Monday, Tuesday, Wednesday – Make photo copies of Funding Proposal and requested documents for all members of the Inter-Club Council.  Prepare your ICC Representative to make a complete presentation to the members of ICC. 

Thursday –  The ICC Representative must hand out copies of the Funding Proposal and requested documents to each member of ICC and make a presentation to the members.  Presentations normally consist of how much money is requested and an explanation of what the funds will be used for. 

Week 3:  Thursday –  Action will be taken on the submitted Funding Proposal.  The ICC Reps vote on the amount that will be funded.  The amount can vary from all (75% of max$ needed), some or none.  If approved, the ICC Rep must pick up a Check Request Form from the ICC Treasurer or the Student Activities Office and have the club advisor or president fill out the Account Name and # to which the money will be transferred.  The Check Request must be turned back into the ICC Treasurer ASAP in order to expedite the signature process. 

Week 4:  Once the Check Request is returned to the ICC Treasurer it is submitted to the Student Activities Office for required signatures (Student Activities Coordinator, ICC President, and Director of Student Services).

Thursday -  The ICC Minutes from the previous meeting in which Action was taken must be approved by the council members.  Once the minutes are approved, the ICC Secretary will submit the Check Request along with the approved minutes to the Student Business Office. 

Week 5:   The Student Business Office verifies accuracy, signatures and proper documentation.  Funding amount approved on the minutes is then transferred out of  ICC Club Funding or ICC Honor Society Funding and transferred into the indicated club account.  In some cases a check may be issued however, the cutting of a check will take up to 10 business days.  This will add up to 2 more weeks to the funding process. 

Where: The ICC Funding Proposal can be picked up at the Student Activities Office in U-121-A. 
Why: The ICC Funding Proposal enables the Inter-Club Council to provide monetary assistance to clubs in need.
