Cataloging Procedure for Discarded Books (Updated 11/15/2011)
 
 

 

A “discarded book” is a book selected for deletion. The temporary location of “withdrawn” is applied by the library so that statistics can be generated before deletion. An item status of “withdrawn” is also added.

 

1.     Librarians determine which items are discarded from their subject area.

 

2.     Library Technician II, Technical Services searches for the bibliographic record.

 

A.   If there is only one item attached to the bibliographic record, the bibliographic record is suppressed and the temporary location of the item is changed to “withdrawn,” item status “withdrawn” added.

 

B.   If there is more than one item attached to the bibliographic record and the items are on separate MFHDs, the MFHD with the discarded item attached is suppressed and the temporary location of the item is changed to “withdrawn,” item status “withdrawn” added.

 

C.   If there is more than one item attached to the bibliographic record and the items are on the same MFHD, a new MFHD is created and the discarded item is transferred to the new MFHD. The MFHD is suppressed and the temporary location of the item is changed to “withdrawn,” item status “withdrawn” added”

 

3.     After statistical reports are run at the end of each month, items with the status “withdrawn” are deleted from the system.
